How to Compress & Email a Large PDF

Although many email clients allow for large email attachments, you may have your email sent back to you depending on the server’s attachment size limits. A large PDF will need to be compressed by zipping the file before it can be successfully sent. Along with your computer's default zip utility program, you can also use third-party zip software to compress the file.

Things You'll Need

  • Zip utility software (optional)

Using Default Software

Step 1

Zip the file. Open "Finder" or "Windows Explorer" and go to the folder the PDF file is in. Select the PDF file you wish to compress and right-click on the file. Select “Archive” for Macs, or select "Send To" and then "Compressed (zipped) Folder" for Windows.

Step 2

Open your email client. Click the “New Message” button to create a new email.

Step 3

Click the “Attach” button; then locate the zipped PDF folder. Double-click the file to attach it.

Step 4

Enter the appropriate information in the “To” and “Subject” fields. Click the “Send” button.

Using Zip Utility Software for Macintosh Computers

Step 1

Download YemuZip for Macs from CNET.com. (See the References section at the bottom of this page for a direct link.) Drag the “YemuZip” icon to your Applications folder to install the program; then double-click the “YemuZip” icon to run the software.

Step 2

Locate your PDF file in "Finder," and drag it to the YemuZip window to zip it. Type a name for the zip file and specify whether you want the file to be compatible with PCs or only Macs. Click “OK.”

Step 3

Open your email client. Click the “New Message” button to create a new email.

Step 4

Click the “Attach” button; then go to the folder your zipped PDF file is in. Double-click the zipped file to attach it. Enter the appropriate information in the “To” and “Subject” fields. Click the “Send” button.

Using Zip Utility Software for PCs

Step 1

Click "Download WinZip 14" button at Winzip.com and save the file to your desktop. Double-click the file on your desktop and run the installation program. Click "Next" to agree to the license agreement and install the software.

Step 2

Open the program. Click "Start," "All Programs" and "WinZip" to run the software. Click the "New" button at the top of the window.

Step 3

Locate the PDF file you wish to compress and double-click the file to begin the zipping process.

Step 4

Open your email client. Click the “New Message” button to create a new email.

Step 5

Click the “Attach” button; then go to the folder your zipped PDF file is in. Double-click the zipped file to attach it. Enter the appropriate information in the “To” and “Subject” fields. Click the “Send” button.

Tips & Warnings

  • Be sure the PDF file is closed before zipping and emailing it.
