How to Convert Publisher to PDF

Publisher is a desktop publishing program manufactured by Microsoft and available as a solo program or as part of the Office suite of programs. Portable Document Format (PDF) is a document type that is essentially a conversion of a printable document created with any program. PDF documents may be read by users with a PDF reading program. Access to the source program, which may not be a common program such as Publisher, is not required. You can convert a Publisher file to PDF, with the right software, by following a few steps.

Things You'll Need

  • PDF writing program

Free Online Service

Step 1

Choose a free online conversion service to convert the Publisher file to PDF. The following steps use "PDF Online" (see Resources section). Most free online services operate in the same manner. Prior to selecting one of these services, take some time to read its "Review" page to gauge customer satisfaction.

Step 2

Select the Publisher file that you want to convert to PDF format. Click the "Browse" button on the first section of the PDF Online page. Use the "Look in" menu to locate the folder in which the Publisher file is saved. Select the Publisher file and click the "Open" button. Note that the file size of the Publisher document may not exceed 2 MB.

Step 3

Choose a name for the PDF file. Type a name for the converted Publisher file into the "Output filename" field in the second section of the PDF Online page. Note the restrictions for the PDF name, including no spaces and no special characters, such as quotes.

Step 4

Type the email address to where you want the converted Publisher file delivered into the "Email address" field in the third section of the PDF Online page. Click the "Convert PDF" button to convert the Publisher file to PDF and have it delivered to the designated email address.

Microsoft Add-In

Step 1

Install the "Microsoft Save as PDF or XPS" add-in. This add-in will allow you to convert Publisher 2007 documents, as well as other Office 2007 documents, to PDF format. Navigate to the download page (see Resources) and follow the download instructions. Prior to downloading, review the system requirements to make certain the add-in will work with your hardware and operating system.

Step 2

Launch Publisher and open the Publisher document that you want to convert to PDF. Click the Microsoft Office button and select the "Open" option to launch the "Open" box. Access the folder in which the Publisher file is saved using the arrows in the "Open" box's address bar. Select the Publisher file and click the "Open" button.

Step 3

Save the Publisher file as a PDF document. Click the Microsoft Office button and select the "Save to PDF" option. This action will launch a "Save As" window. Choose a folder in which to save the PDF version of the Publisher file using the arrows in the "Save As" box's address bar. Type a name for the PDF file in the "File name" field and click the "Save" button to complete the process of converting the Publisher file to PDF.

Third-Party PDF writing Program

Step 1

Download a PDF writing program to your computer. There are many PDF writing programs available, and most all of them are suited for converting Publisher documents to PDF. While there are commercial versions, a free program may be the best choice. Try PDFill, which is available for a free download from the PDF fill web site (see Resources).

Step 2

Launch Publisher and open the Publisher document that you want to convert to PDF. Click the Microsoft Office button and select the "Open" option to launch the "Open" dialogue box. Access the folder in which the Publisher file is saved using the arrows in the "Open" box's address bar. Select the Publisher file and click the "Open" button.

Step 3

Print the Publisher file to a PDF file. Click the Microsoft Office button and select the "Print" option. This action will launch a "Print" window. Select "PDFill PDF and Image Writer" from the list of printers and imaging programs listed under the "Printer name" menu. This action will launch a "Save as" box. Choose a folder in which to save the PDF version of the Publisher file using the arrows in the "Save As" box's address bar. Type a name for the PDF file in the "File name" field and click the "Save" button to complete the process of converting the Publisher file to PDF.
