How to Use the Page Numbering Feature on Microsoft Word 2008
Microsoft Word 2008 for Mac provides adept and novice Microsoft Word users with a wide array of document layout and formatting tools—including several different methods of numbering document pages. Microsoft Corporation has retained tried-and-true features such as a single window devoted to page numbering while improving upon or offering new features such as auto-insertion and pre-formatted header and footer/page-numbering designs that increase the speed and efficiency of adding and/or editing page numbers.
Go to "View" at the top of the screen, while in an open document to reveal the "View" drop-down menu. Select the "Print Layout" document layout option from the menu. To add, remove or edit page numbers using the "Page Numbers" dialog window, go to Step 2. To use the "Header and Footer" formatting mode and/or “Formatting Palette” tools, go to Step 4.
Open the "Insert" drop-down menu at the top and select "Page Numbers." In the window that opens, select "Bottom of page (Footer)" or "Top of page (Header)" from the "Positions" drop-down menu. Click on the "Alignment" drop-down menu and select a “Right, Left, Center, Inside or Outside” page number alignment. Click the "Format... " button and choose your desired formatting options to format the page number text. To select a starting page other than "1"—if you have a cover sheet or title page—enter a different page number in the "Start at" field in the “Format” window.
Click the "Ok" button to apply your "Page Numbers" window-created changes.
Select "Header and Footer" in the "View" drop-down menu or roll your cursor over the top or bottom of a page until the cursor changes shape. Double-click to show headers and footers.
Use auto-insertion—“Auto Text” menu, “Page Number” button or direct header or footer frame typing—for page numbering in “Header and Footer” mode. To use the “Auto-Text” menu, select “Auto-Text” in the “Insert” menu then select an option. To use the “Page Number” button, go to the "Formatting Palette" in the “Toolbox” and in the “Header and Footer” section click on the “Page Number” button next to “Insert: ” and then format text as needed. To direct type, enter numeric or alphanumeric information. For example, type the word “Page” and Microsoft Word automatically offers the "Running Totals" page-numbering option—denoted with the "Page X of Y" descriptor—that shows the current page in a series such as “Page 2 of 32”
Close out of the "Header and Footer" formatting mode by clicking the "X" inside the circle to the right of the word "Close" below the header or footer frame.
Tips & Warnings
- If you don't want your page numbers to appear on the first page of your document, uncheck the box to the left of "Show number on first page" in the "Page Numbers" dialog window, or check "Different First Page" under "Header and Footer" under the "Formatting Palette" in the "Toolbox."
- If you want to use a pre-formatted page numbering or header/footer design, click the "Elements Gallery" button beside the "Toolbox" button, go to the "Document Elements" tab and select "Header" or "Footer" and choose one of the design options offered in the boxes above the open document.
