How to Write a Greeting Email

Begin with a well-written greeting when attracting customers to websites for business or when making personal introductions electronically. With so much Internet traffic, websites have seconds to capture an audience. An email that hooks someone browsing a site or checking his inbox is worth its weight in gold. The greeting must be on point, grammatically accurate and snappy. Also, an email has an infinite lifetime, so think carefully as to whom it is sent and its purpose. With a little practice, your greeting will be well received.

Step 1

Select four or five words to capture interest in the subject line; be clear and concise. When someone is browsing her mail, the subject line is the first thing she sees and clicks.

Step 2

Use correct titles and spellings in the salutation, but be conversational. A simple "Hello" is better than "Dear" or "To Whom it May Concern," which are more commonly used in a formal written letter.

Step 3

Identify yourself and your connection with the recipient in the first or second line of the greeting. With so many Internet scams, people are wary of reading too far if they do not feel they know you.

Step 4

Write the greeting in one or two block paragraphs and avoid having the reader click on links, download attachments or visit other sites. Establish your purpose and avoid writing too much. Emails are meant to be brief communication.

Step 5

Establish an electronic signature that can be duplicated for other greetings to similar audiences and for similar purposes.

  • Never use all capital letters.
