How to Print From OneNote in Windows

Microsoft OneNote is an application that allows you to make notes, input text and highlight items. You may want to print your OneNote notes to have a hard copy in case of a hard drive failure or computer crash. A printout of your notes is also helpful if you need to reference or look at your notes, and won't be near a computer to do so. You can print your notes in a variety of ways.

Print All or a Selection of Your Notes

Step 1

Open the OneNote document you wish to print.

Step 2

Hold "Shift" and click the first page tab and the page tab of the last page to print a series of pages, such as page 3, 4, 5 and 6. Hold the "Ctrl" key and select each page tab you want to print, if you wish to print selected pages that are not part of a series, such as page 2, 5, 7 and 9.

Step 3

Click "File" and "Print." Look at the selection of pages under "Page Range" to ensure it matches the pages you wish to print, then click "Print." You can also click "All" under "Page Range" to print all the pages in your OneNote document.

Printing to a File

Step 1

Open the OneNote document you wish to print to a file. Click "File" and "Print."

Step 2

Click the printer you wish to print your notes with, such as a PostScript printer or digital press printer in the "Select Printer" box.

Step 3

Click the check box next to "Print to File" and click "Print." Give your file a name when the "Print to File" dialog box appears and click "OK" to finalize the file. Save the file to a USB flash drive and take it to the selected printer to print the notes.

Printing Several Copies

Step 1

Open the OneNote document you want to print copies of. Click "File" and "Print." Enter the number of copies you wish to print in the "Number of Copies" text box.

Step 2

Click the check box next to "Collate" to print all pages of one copy before the first page of the next copy is printed. For example, if you want to print all copies of page one, then all copies of page two, do not click the check box.

Step 3

Click "Print."

Tips & Warnings

  • You can change the way your notes look when printed by selecting the "Print Preview" icon on the toolbar. You can choose the paper size, select page numbering options, change the orientation to landscape or portrait, shrink your notes to the paper's width and print the page header on a separate page by selecting the available options. If you select "Landscape" as your orientation, your page will print with a width longer than its length, and vice-versa for "Portrait."
  • You must know the type of printer you're printing your notes with if you choose the "Print to File" option.
  • You can print one page of notes by simply clicking the "Print" button the toolbar.
