How to Keep Embedded Documents During Conversion to PDF

By Tammy Clevenger

Additional documents, spreadsheets or multimedia items may be embedded into Microsoft Office Word documents. When these documents are converted to the Portable Document Format (PDF), the embedded objects can be retained using the Microsoft Word 2007 PDF and XPS add-in. The documents can be converted to PDF from within the Microsoft Word interface.

Step 1

Download and install the Microsoft “Save as PDF or XPS” add-in. The add-in will add the “PDF and XPS” option to the “Save As” menu in Word.

Step 2

Right-click on the document to save as PDF, and then select “Open” from the context menu. The document will open in Microsoft Office Word.

Step 3

Click the Microsoft Office button located at the top left corner of the Word window.

Step 4

Click “Save As…”.

Step 5

Select “PDF or XPS” from the “Save As…” menu.

Step 6

Type a name for the new PDF document in the “File Name” text box.

Step 7

Select the “PDF” file type from the “Save as Type” drop-down box.

Step 8

Click the “Save” button. The document will be saved as a PDF with embedded objects.
