How to Change the Display Name in Outlook

Outlook is Microsoft's flagship email, contact management and calendar application and, with few exceptions, comes standard on most versions of the company's Office suite. After installing Outlook on their computers, many users wish to customize the settings that determine how their contact information appears in outgoing messages. One of the best places to start this process is by customizing the display name---the name recipients will see in the "From" line of any messages sent from Outlook. The steps you'll need to follow to change your display name will vary somewhat depending on which version of Outlook you're using.

Outlook 2007

Step 1

Click on "Tools" in the menu at the top of your screen and then choose "Account Settings..." from the list of options that appears.

Step 2

Select the account you wish to update from the "Email" tab in the dialog box that appears, and then click the "Change" icon in the row of buttons just above your account(s).

Step 3

Update the "Your Name" field under the "User Information" heading to include your display name as you'd like it to appear in the "From" line of any messages you send.

Step 4

Click the "Next" button and then "Finish."

Older Versions of Outlook

Step 1

Click on "Tools" in the menu at the top of your screen, and then choose "Email Accounts" from the list of options that appears.

Step 2

Select "View or Change Existing Email Accounts," and click the "Next" button.

Step 3

Select the account you wish to update, and then click the "Change" icon.

Step 4

Update the "Your Name" field under the "User Information" heading to include your display name as you'd like it to appear in the "From" line of any messages you send.

Step 5

Click the "Next" button and then "Finish."

Tips & Warnings

  • The display name is initially set based on information you provide when creating a new Outlook account, so changing it won't be necessary if you take the time to select an appropriate name before starting the account set up process. Also, bear in mind that your display name will be visible in the inbox of your messages' recipients and not just in the message itself, so be sure to choose a name that isn't likely to be flagged by their spam filters or that won't be viewed as unprofessional if you're using Outlook for business purposes.
  • If you have a Microsoft Exchange account, you will not be able to change your display name on your own. Instead, you will need to contact the administrator for your Exchange account so he can make this change for you.
