How to Convert CSV Files to PDF

By Cooper Temple

A Comma Separated Values (CSV) file is a format in which data from tables, forms and spreadsheets is saved as a data file. The digital data is saved as text, which is separated by commas. This data can be imported into other document formats, where the data will be populated into individual fields. Portable Document Format (PDF) is a way to transmit a variety of documents in a manner that is accessible to a wide range of users, regardless of their software or operating system. You can convert CSV files to PDF, with the right program, by following a few steps.

Things You'll Need

  • CSV file
  • Spreadsheet program
  • PDF writing software

Step 1

Download a PDF writing application. Adobe Acrobat Pro is used in the following step, but there are many other PDF writing programs available. Check the "Resources" section below for a list of software.

Step 2

Launch the application in which you want to view the CSV file. Spreadsheet programs are a good choice, as the text can easily be distributed among cells. Microsoft Excel is used in the following examples.

Step 3

Use the "Data" drop-down menu to select the "Import External Data" option. Click once on "Import Data." This action will launch a separate "Open" window.

Step 4

Use the "Files of type" menu to select the "All Data Sources" option. Locate the folder to which the CSV file is saved using the "Look in" menu. Click once on the CSV file name and once on the "Open" button. This action will open a separate "Text Import Wizard" window.

Step 5

Select the "Delimited" option on Step One of the "Import Wizard" and click once on the "Next" button. Select the "Commas" box in Step 2 of the "Import Wizard" and click once on the "Next" button. Select the "General" option for the "Data Type" on Step Three of the "Import Wizard" and click once on the "Finish" button. The data from the CSV file will now be populated in the spreadsheet

Step 6

Use the Excel "File" menu to select the "Print" option. Select the PDF application from the list of printers and click once on the "OK" button. Choose a folder in which to save the converted CSV file using the "Save in" menu. Type a name for the new PDF in the "File name" field and click once on the "Save" button.
